Classic TruckFest™ Commercial vendor rules & regulations

Classic TruckFest is the BIGGEST classic pickup event in the world! Open to all makes and models of pickups, SUVs & vans that are 20 years and older. 
Motorsports, vendor midway, after hours activities, awards - including the prestigious Baker Best of Show™ picked from the Dirty Baker's Dozen top 13.
Full size trucks/SUVs, mini trucks and everything in-between. Dualing auto crosses, drag racing, vendor midway, drifting, burnout, dyno, music and much more!

Vendors/Exhibitors shall not assign, sublet, share or apportion the whole or any part of their exhibit space they have applied for or are assigned. *Exception is sale of the Vendor business and written proof of the business sale must be made to Classic TruckFest (CTF) by the new Vendor or applicant.

EVENT VENDOR ENTRY HOURS
Vendors/Exhibitors staff are only allowed to enter the event ONE HOUR prior to the official start of the event on event days with proper Vendor Credentials. NO VEHICLES WILL BE ALLOWED on the Vendor Midway on event days. 

VENDOR SETUP, CREDENTIAL PICKUP & PARKING
Vendor spaces will be available for setup from 8am-6pm on Wednesday and Thursday the week of the event. Move in hours are strictly enforced. All vendors must be setup prior to end of day on Thursday. Any late arrivals after hours on Wednesday or Thursday must have approval by end of day Monday the week of the event. 
Vendor parking passes and vendor credentials will be issued AT THE EVENT. Each exhibitor is provided vendor parking passes for vehicles to be parked in designated vendor parking area. NON-DISPLAY VEHICLES ARE NOT ALLOWED TO BE PARKED IN OR AROUND YOUR DISPLAY AREA. Failure to follow this rule could result in ejection from the event WITHOUT REFUND. 
Handicapped vehicles, with proper ADA credentials, are required to park in the designated area. 
Exhibitor displays and merchandise must remain within the confines of the contracted space. Materials must not overflow into the isles. Distribution of sales materials and sales aids must take place within your assigned vendor space only. 
Vendor booth space must be solely for the company/person and their products and services stipulated in the vendor agreement. Food and beverage sales are prohibited. Any violation of any of these services will result in immediate removal WITHOUT REFUND. 
Vendor setup is only allowed on setup days as specified above, no setup is allowed on show days. All excess materials, boxes, refuse, etc must be removed by 6pm on the final setup date. CTF assumes NO RESPONSIBILITY for Vendor materials left unattended during setup or credential pickup.
Any spaces not claimed by 5pm on the final setup day may be reassigned or resold by CTF, and no refunds or transfers/credits will be given.

VENDOR INSURANCE
All vendors shall have liability insurance coverage of not less than $1 million dollars and shall provide CTF with a certificate of insurance, naming CTF as an additional insured.

VENDOR OPERATIONS & CONDUCT 
Vendors are required to maintain a neat and orderly appearance. CTF reserves the right to refuse/remove any vendor not selling items listed on their application. CTF is a family friendly event and CTF reserves the right to deem if a vendor violates this policy. All decisions are at the sole discretion of CTF and all decisions are final. 
The following items are NOT ALLOWED for sale: guns, knives, drug paraphernalia, animals, illegal substances. ALL VENDORS MUST BE AUTOMOTIVE RELATED PRODUCTS. Single occupancy ADA approved scooter or serve animal will only be allowed for use by handicapped personnel.
Vendors will not be allowed to obstruct the view from any side of their assigned booth display area, cause injury to, or adversely affect the displays of other vendors. Products/fixtures should be arranged with the safety of the vendors and attendees in mind.
Use of Classic TruckFest®, TruckFest® logos or text is PROHIBITED for use on any products or merchandise. This is a trademarked brand.
Each vendor is responsible for any damage to property caused by vendor’s staff, personnel, representative or equipment/display.
Vendors shall not distribute any advertising materials, literature, souvenirs or promotional items other than in their own vendor space/booth. All advertisements or displays of goods or services other than those manufactured, distributed or sold by the vendor in the regular course of business and identified in their vendor registration is prohibited. 
Vendors are not permitted to host or sponsor any event that otherwise conflicts with the scheduled CTF program.
Vendors are not granted exclusive rights to any specific product or service category.
Vendors with trailers or oversized vehicles, not part of their display, are required to park in the designated area for trailer parking. 
Display Vehicles must remain in assigned booth space during show hours. Display vehicles should also be in the vendor booth BEFORE the gates open for the public. No “in-out” driving during the event hours. Display vehicles must be registered as a normal show participant in order to be included in judging. 
Any FREIGHT shipments made to the event, and all arrangements and costs necessary to load/unload freight can only be singed on the vendor setup days. CTF or track staff will not sign for or accept any freight or mail.
Any demonstration areas must be within the vendors exhibit space so as not to interfere with any pedestrian traffic in the isles. 
Noise/music levels from any demonstrations or displays must be kept to a minimum and not interfere with CTF, facility safety or event announcements. 
No PA or voice amplification by vendors is permitted.
Booth space must be OCCUPIED by the vendor staff during event hours.

BOOTH TEARDOWN
No removal or product and/or equipment is allowed before 5pm Saturday.
EARLY TEARDOWN IS SUBJECT TO FORFEIGHT FIRST RIGHT OF REFUSAL FOR THE NEXT YEAR EVENT AND RISK APPLICATION REJECTION. Vendors will remain open and operational until Saturday at 5pm. Weather may affect this time. Booth display vehicles cannot be removed until 6pm on Saturday.
All vendors trailers must be off site by 10am Sunday morning. Vendors agree to dismantle their display/booth as soon as practical after the end of the event. CTF assumes no responsibility for any vendor material left behind or unattended during teardown. 
Any product or displays that need to be picked up and shipped after teardown are the responsibility of the vendor. Please make arrangements with the shipper and notify CTF prior to arriving at the event.

BANNERS
If vendors have banners they would like displayed at the event, please SHIP THEM TO US PRIOR TO THE EVENT. Our staff with hand all banners prior to vendor setup on Wednesday. 

NAMES & LOGOS CTF owns the rights in at least the following names, trademarks and associated logos, including all goodwill associated therewith: “Classic TruckFest”, “TruckFest”, “More Than Just a Truck Show” and  “Mr.C10”. 
Except as expressly provided in this Agreement, nothing in this Agreement will be deemed to constitute or result in an assignment of any CTF name, mark or logo to Company, or of any Company name, mark or logo to CTF, or the creation by one party of any license or equitable or other interest herein in the other party. Neither party will impugn, challenge or assist in any challenge to the validity or ownership of the other party’s names, marks or logos, or registrations thereof. Upon termination or expiration of the Agreement for any reason, each party shall cease as soon as practicable any previously approved used of the other’s Property.

By reading this contract, and checking the box, I HEREBY ASSUME ALL OF THE RISKS OF PARTICIPATING IN ANY/ALL ACTIVITIES ASSOCIATED WITH Classic TruckFest (TruckFest LLC), including by way of example and not limitation, any risks that may arise from negligence or carelessness on the part of the persons or entities being released, from dangerous or defective equipment or property owned, maintained, or controlled by them, or because of their possible liability without fault.

I acknowledge that this Release of Liability will be used by the event holders, sponsors and organizers of the event in which I may participate, and that it will govern my actions and responsibilities at said event. 

In consideration of my application and permitting me to participate in this event, I hereby take action for myself, my executors, administrators, heirs, next of kin, successors and assigns the following:
(A) I WAVE, RELEASE & DISCHARGE from any and all liabilities, including but not limited to, liabilities arising from the negligence of fault of the entities or persons released, from my death, disability, personal injury, property damage, property theft or actions of any kind which may hereafter occur to me including my travel to and from the event, Classic TruckFest (TruckFest LLC), the owner/operator of the event facility, all other vendors/exhibitors at the event and each of their respective owners, shareholders, directors, officers, employees, volunteers, representatives and agents, and the activity holders, sponsors and volunteers.
(B) INDEMNIFY, HOLD HARMLESS & PROMISE NOT TO SUE the entities or persons mentioned in this contract from any and all liabilities or claims made as a result of participation in this event, whether caused by the negligence of release or otherwise. I acknowledge that they are NOT responsible for the errors, omissions, acts or failures to act of any party or entity conducting a specific activity on their behalf. 
(C) I acknowledge that this event may involve a test of a person’s physical and mental limits and carries with it the potential for death, serious injury and property loss. The risks include, but are not limited to, those caused by terrain, facilities, temperature, weather, condition of participants, equipment, vehicular traffic, lack of hydration, exposure to disease and actions of other people including, but not limited to, participants, volunteers, monitors and/or producers of the event and their staff or family. These risks are not only inherent to participants, but are also present for volunteers. I hereby consent to receive medical treatment which may be deemed advisable in the event of injury, accident and/or illness during the event.
(D) Understand while participating in this event, I may be photographed. I agree to allow my photo, video or film likeness as well as my personal property and vehicle to be used for any legitimate purpose by the event holders, producers, sponsors, organizers and assigns. 

The Accident Waiver and Release of Liability Form shall be constructed broadly to provide a release and waiver to the maximum extent permissible under applicable law.
I CERTIFY THAT I HAVE READ THIS DOCUMENT AND I FULLY UNDERSTAND ITS CONTENT. IAM AWARE THAT THIS IS A RELEASE OF LIABILITY AND A CONTRACT AND I SIGN IT OF MY OWN FREE WILL. Checking the box upon checkout is acknowledgement of consent.
